Purchasing Administrator – MCTC
Key Responsibilities
- Report complaints and discrepancies between vessels and suppliers to the Fleet Supervisor and support their timely resolution.
- Maintain clear, professional, and effective communication with suppliers, clients, vessels, and internal stakeholders.
- Monitor the supply and delivery process and ensure all required documentation is properly maintained.
- Review and verify supplier and client invoices for accuracy and completeness.
- Monitor vessel performance and support departmental objectives while ensuring compliance with budgetary requirements.
- Manage the monthly inventory closing process and ensure vessel catering accounts are accurately updated.
- Prepare and maintain various templates, reports, and records, including:
o Monthly catering reports
o Customer review reports
o Supplier comparison reports
o Supplier benchmarking reports
o Supplier performance records - Organise and maintain documentation related to inquiries, purchase orders, and other purchasing activities.
- Ensure all purchasing and related records are properly secured and maintained with appropriate confidentiality.
- Perform administrative activities in accordance with the Integrated Management System (IMS) and remain updated on relevant policies and procedures.
- Support the department in maintaining efficient procurement and supply chain processes.
- Perform any other duties and responsibilities as assigned by the management.
Qualifications & Skills
- College or university graduate.
- Good knowledge of MS Office and general computer applications.
- Excellent command of written and spoken English.
- Strong communication and interpersonal skills.
- Good organisational and administrative skills.
- Strong attention to detail and accuracy.
- Ability to work independently as well as effectively within a team.
- A genuine interest in the maritime and shipping industry.
Desirable Qualifications & Experience
- Previous experience in a similar purchasing, procurement, supply chain, or administrative role, preferably within the maritime industry.
- Educational background or experience in Culinary Arts, Nutrition, Maritime Studies, Supply Chain, or a related field will be an advantage.
